Shipping and return policy
RECEIVING SHIPMENT
All orders of large items are shipped via freight delivery
Steps after order are placed
step 1 - You will receive confirmation via email and phone that we have received your order and a follow-up call and email when the item is in transit
Step 2 - customer must contact freight deliverer to schedule a drop off date (notice: Delivery dates are not guaranteed and are subjected to change by the freight handler rarely happens)
Step 3- When the date is scheduled and the item is being offloaded an adult over the age of 18 must be present to receive the shipment and sign the bill of landing.
*IMPORTANT * Before the bill of landing is signed and the driver leaves do these checks. If not claim to damages cannot be done afterward signing of the bill of landing is tantamount to saying I have received my brand new undamaged items with no missing parts or issues. We are not responsible if the bill of landing is signed without notes and you cannot enter a claim for damages after the fact.
CHECK 1 - Check for damages inspect the cargo and look for any damages, things to check for holes in boxes punchers, etc if these things are noticed feel free to open up the cargo for a further inspection while the driver is there if there are damages note this on the bill of landing and inform the driver.
CHECK 2 - Check that all the items that are listed on the bill of landing are present at the drop-off date if there are any missing items please note this on the bill of landing and inform the driver.
IF DAMAGES ARE FOUND ON DROPOFF DATE YOU ARE COVERED BY SHIPPING INSURANCE STEPS TO TAKE BELOW
DO NOT accept the damaged box, send it back with the driver. Please keep the boxes which are in good condition.
- If the damage is cosmetic only, we reserve the right to repair the product/part as new with a new part or professional assistance.
- Any damage must be reported within five calendar days of the delivery date, due to carrier insurance regulations and rules. Any damage report outside of this time frame is subjected to refusal.
- Call us immediately, we will make sure your replacement pieces will ship as soon as possible.
- Note the damage to the driver and make sure you have it in writing on the Bill of Lading and delivery paperwork. Take clear pictures/video of all boxes, the damage, and the Bill of Lading, and email it to us.
An insurance claim will be processed for the damages with the handler/ manufacturer
When processing an insurance claim for damage, you agree to hold onto the damaged item(s) and the original box/carton the item(s) came in until the claim is closed with a final decision.
Refusal to warehouse the damaged item(s) and the original box/carton, means that we won’t be able to process the insurance claim and/or process refunds/replacements.
This is a required procedure with all shipping carriers when processing insurance claims.
Pilates expo return policy
We offer 30 - day returns on products except custom made items or made-to-order items, reformers, Cadillac/trapeze tables, chairs, barrels, microformers, megaformers, and items purchased on sale or reduced price, and Springs, loops, hands and feet straps, fuzzies, handles and vinyl covers are non-returnable
These items are still covered by the manufactures warranty and they will repair or replace defective parts according to each product warranty.
If the item(s) ships via freight carrier, it will be covered with insurance for any damage that might occur during shipment.
As long as you follow our shipping & receiving policy, we will be able to process a replacement at no cost as soon as possible.
How to return a returnable product(s):
All returnable items must be returned within 30 days of placing the order.
To be eligible for a return, your item(s) must be in the original packaging, unused, and in the same condition that you received it. Otherwise, a refund can’t be issued.
It’s the customer’s responsibility to pay for the return shipping on any item(s) that is not damaged.
All returns are subjected to a 20% restocking fee, and a 3% processing fee on credit card transactions that will be deducted from your refund.
When shipping back your item(s) you must use a trackable shipping service or purchase shipping insurance. We don’t guarantee that we will receive your returned item(s).
Process of returning returnable orders
All returnable items must be returned within 30 days of placing the order.

If your return is approved you will receive an email from us with return instructions.
Securely pack all the returned items in the original packaging and include any other paperwork requested in the return approval email.
We recommend taking a picture of the package and/or the item before shipping.
Ship the package. We will either provide you a return shipping label or you will have to arrange the shipping yourself. You can use UPS or FedEx Ground if your order was delivered by one of these carriers. If your item is larger and was delivered with one of the LTL freight carriers you need to make sure the box is put on a pallet and schedule a pickup with an LTL freight carrier.
Please provide us the tracking number.
Once your return is received and inspected, we will send you an email to notify you that we have received your returned item. We will also notify you of the approval or rejection of your refund.
If you are approved, then your refund will be processed, and a credit will be automatically applied to the original method of payment within 10 business days.
Cancellations
Most of our items ship directly from our suppliers or the manufacturer's warehouses, and we are prepared for fast shipping after your order is placed. Therefore, items can only be canceled within 1 hour after placement with no guarantees.
It’s important to contact us as soon as possible when trying to cancel an order.
In the cancellation request, please include your order number, contact information, and the name of your product(s), and we will do our best to cancel your order.
If your order wasn’t processed/shipped yet and can be canceled, you will receive a cancellation confirmation email, and we will void the transaction so you won't be charged. If we already charged your card, we will issue a full refund back to your original method of payment.
If the item(s) is already processed or shipped and can’t be canceled, you will have the option to refuse the delivery or return your order once delivered (returnable products only).
Such a return is subjected to a return shipping fee, restocking fee, and 3% processing fee on credit card transactions, which will be deducted from your refund.
The refund will be processed once the item has been received at the warehouse and inspected.
WARRANTY:
Private Pilates warrants those products shall be delivered free from manufacturing defects. Each
equipment is pre-assembled and independently tested for the necessary verification test. The
warranty for products shall expire two (2) years after the invoice date of the purchase and includes
all the pieces of equipment. Any defect, vice or deformity to what is ordered of any part of the
equipment must be reported to Private Pilates as soon as possible after discovery and, in any case,
not later than 8 days from the date of delivery, under the terms of the law.
The warranty is void if:
▪ The equipment has been subject to an accident, neglect, misuse, any kind of abuse or deterioration
due to causes other than normal wear and tear.
▪ Products are incorrectly installed and /or installed by non-qualified persons.
▪ Original pieces have been substituted by non-original pieces.
▪ The equipment is not in the ownership of its first buyer.
▪ The warranty does not cover damages like rips, cuts, burns, spots, damages of cleaning materials
that had not been approved by Private Pilates, damages of atmospheric conditions and improper use
of the good.
▪ Once proven the defect or inconsistency of material or manufacturing, Private Pilates will repair or
substitute the defect part or the whole part, according to valuation of necessity.
▪ The repaired or substituted parts will maintain their warranty for the remaining period of the
original equipment.
▪ Warranty does not cover shipping damages.
▪ Warranty does not cover shipping fees, custom fees or any kind of costs to install shipped pieces.
▪ In no case, warranty will give authorization for indemnity for direct or indirect damages caused to
persons or objects.
▪ In case warranty applies, repairing or substitution will be processed with the same material if
available. If not available, a most similar material will be used.
Attention:
▪ Damages caused during shipment are covered by insurance which had been agreed between
Private Pilates and the chosen shipping carrier.
▪ For activating the refund procedure, you shall sign every received shipment “I accept with
reservation” and specify the reasons for it (e.g. damaged packaging) on their transportation
documents.
▪ According to the law, the notification must be communicated within 8 days of delivery.
Low Price Guarantee
We work very hard to ensure that we offer the absolute best prices online. We work with our suppliers to ensure that they set minimum advertised pricing guidelines for all of our competitors. This means that everyone else selling the same product online is supposed to be selling it at the same price. If you find another online store that offers a lower price then us within 30 days of your purchase date please let us know and we will contact the brand to ensure they are not breaking the minimum advertised price policy. If you qualify for a refund, you will be refunded the difference in price to your credit card.
